This guide is for users who would like to create a Confluence space for a section. It is provided to ensure that admins for these spaces have the knowledge to effectively control their space, while also ensuring that they do not make a major mistake with the space (such as deleting all the pages in the space). Admin privileges for spaces is granted with an understanding that you will treat your space with care, you have working knowledge of Confluence and its features, and the space will be an active space.

Some guidelines are as follows:

How to request a new space

  • You can request a space for your program / portfolio through the "request assistance" form https://jira.devops.va.gov/servicedesk/customer/portal/1/create/17
    • Please provide: 
      • Name of the space
      • List of Admin users (2-4 admin users per space: email address required for each admin)
      • View/edit permissions for the space (please note that these can be changed later; for example, the space could be setup as "private" during setup, and then changed to a "public" space once it is ready). 
        Please note that this is the SPACE level permissions; there are additional permissions that can be applied to PAGES in addition to the space permissions. Those page-level permissions can be applied after the space is created.
        • Viewable and editable by everyone
          • All Confluence users will have access to view and edit your pages.
        • Viewable by all, editable by some
          • All confluence users will have access to view your pages, and only some users (defined by groups) will have access to edit your pages.
          • If you know of a Confluence group or Jira group that should have access, please provide the name of that group
        • Viewable by some, editable by some
          • This is the most restricted space type: pages will be available only to users that belong to certain groups. If you know of a Confluence group or Jira group that should have access, please provide the name of that group
      • If you have pages that you would like migrated to the new space, you can do that once the space is created.
    • Some requirements for creating a space:
      • 2-4 admin users per space
      • The new space should be for a portfolio, team, or "segment" of significant size/importance to justify the creation of the space. If the new space will be mostly inactive or for a small group, it is recommended that it remains a subsection in an existing space instead of creating an entirely new space. In most cases, a Project is not large enough to justify a space
      • Admin access will only be given to NEW spaces; admin access will not be granted to existing VA shared spaces.
      • Admin access will be evaluated and granted on a case by case basis; only experienced confluence users will be granted admin access to a space. If you are new to Confluence (or new to the Confluence Admin Role), it is highly recommended that you complete these courses before requesting your new space:
      • DO NOT remove the DOTS team from your space: the DOTS team needs access AS ADMINS to assist with requests
      • Blogs are turned off on all spaces for security, please do not activate them.

If you plan to move existing pages into your new space, please keep in mind that the page does not retain its original permissions when it moves; it inherits the permissions of the new space it's moved to, meaning you'll need to adjust permissions in the destination space to control access as needed.
